Q: What type of electronic files does Central Services accept?

Central Services accepts PDF, Publisher, Power Point, Word, HTML, and Excel files.
We do prefer PDF ready to print files for static print request, if you are considering a variable print request such as post card for a mail out, we currently prefer Publisher files. As stated above we can work with practically any type of electronic file.
Q: What type of paper stock does the print shop use?
A:
Central Services currently uses 8.5x11 20 pound, 30% recycled content stock for all simplex and duplex black ink printing. For color print request we currently utilize high quality 8.5x11 70 pound digital stock to avoid color bleed from one side to another.
We also utilize index and color paper to enhance print request for flyers and brochures to avoid the higher cost associated with full color printing.
Q: What is the procedure for proofing print request?
A:
If you send a PDF that has been deemed print ready, we simply ensure that the print file and the electronic file match.
If you send an electronic file that is either a draft or not a PDF print ready document, you must specify to have a printer e-mail a proof to your attention for final approval.
Q: Do I have to duplex (both sides) print all documents?
A:
No, you do not have to duplex print everything, but doing so saves your department money, and it also supports the City’s mandate to be environmentally conscious by reducing the use of natural resources.
The choice to print duplex documents will ultimately reduce storage space requirements for documents that require storage for a specified length of time.
Q: How many copies of my document should I request?
A:
You should only order what you are going to use for your particular project, you should not order additional quantities that will be stored for future use. Just what you need, just in time.
If you require additional copies after your initial request, check for changes or corrections that need to be made in order to keep the document current and up to date.
Q: Can you stretch and mount my print request?
A:
If your original file has been properly formatted, and is a high resolution file we may be able to stretch the dimensions or your print request.
Check with Central Services staff to be sure your original file is not going to break apart and pixilated when resizing is attempted.
Q: Can I order Gold Seal business cards?
A:
You can only order Gold Seal business cards if you are considered to be executive staff. For non-uniformed employees that would be from Assistant Directors and above, City Council, City Manager and Executive Team members. For uniformed employees, a list of Executive positions is available at Central Services.
The purpose is to reduce cost to the City, as well as to standardize business card appearance throughout the City.
Q: Can Central Services mail out post cards, letters, and brochures if a mailing list is provided?

Yes, Central Services utilizes Smart Mailer, software developed to facilitate variable printing request for post cards, letters, and brochures.
Removal of duplicate addresses, elimination of postal errors, and up to date move update checks, allows for significant cost savings, through reduction of materials and un-deliverable postage.
Q: Is there a certain layout for out going mail?
A:
Yes, all out going mail must meet standard USPS mailing regulations.
